About The Role

Reporting into the Workplace Experience (WeX) Lead, this role is responsible for the effective management of facilities and workplace operations across our multi-level Melbourne office, while providing operational support to our Sydney, Darwin and Gold Coast locations. The successful candidate will oversee building services, maintenance programs, contractor performance, safety compliance and facilities-related projects, ensuring our workplaces are safe, well-maintained, operationally efficient and set up to support our people every day.

Responsibilities Include:

  • Act as the primary facilities contact for internal stakeholders, landlords, building management, vendors and contractors, ensuring day-to-day building and workplace issues are managed quickly, safely and professionally.
  • Coordinate reactive and planned maintenance across core building services, including electrical, plumbing, HVAC, cleaning, furniture, general repairs and workplace presentation.
  • Manage facilities contractors and service providers, including performance monitoring, service scheduling, quote review, site access, issue escalation and completion follow-up.
  • Support facilities planning across Melbourne, Sydney, Darwin and Gold Coast offices, identifying operational risks, improvement opportunities and consistency across workplace standards.
  • Play a key role in workplace health, safety and environmental compliance by supporting OHS/EHS frameworks, site audits, risk assessments, contractor safety requirements and corrective actions.
  • Assist with facilities and property budgets, including forecasting, raising purchase orders, reviewing invoices and ensuring costs align with quotes, contracts and approved budgets.

Please note, this is a 6-7 month maternity leave cover with the potential to extend.  The successful candidate will be onsite in our Melbourne office on Tuesdays, Wednesdays and Thursdays.  We are open to candidates on a full time or part time basis (minimum 3 days)


About You

While we are big on development and offer on the job training, we want to set you up for success. Along with a great attitude, it would be ideal that you have:

  • Strong knowledge of essential services, building codes and standards and OHS/EHS requirements.
  • Proven experience managing and maintaining workplace operations within a commercial environment, projects, leases, contracts, and tender processes.
  • Ability to coordinate building maintenance, monitor service delivery standards, and manage administrative functions with strong attention to detail.
  • Demonstrated negotiation, stakeholder engagement and verbal communication skills including proven ability to influence positive outcomes and build effective working relationships.
  • Strong organisational and problem solving skills with the ability to manage competing priorities in a fast paced workplace environment.
