About The Role
Reporting into the Workplace Experience (WeX) Lead, this role is responsible for managing day-to-day office operations of our multi-level office in Melbourne while also supporting and overseeing workplace operations in our Sydney, Darwin and Gold Coast locations. The successful candidate will manage vendors and subcontractors, ensure workplace safety and security whilst coordinating projects, enhancing employee experience and bringing to life an engaging workplace environment.
Responsibilities Include:
- Serve as a primary contact for internal stakeholders and external contractors, managing relationships and coordinating all facilities related matters, including electrical, plumbing, HVAC, general repairs and scheduled maintenance, ensuring issues are resolved promptly and efficiently.
- Coordinate with interstate offices to address operational requirements and identify opportunities for continuous improvement.
- Support WeX Lead with property budgeting, including forecasting, planning and managing OpEx and CapEx expenditure across workplace operations.
- Play a key role in the development, implementation and continuous improvement of OHS/EHS frameworks, systems, policies and procedures. This includes participating in audits, identifying risks and ensuring best practice safety standards across the business.
- Act a key point of contact for OHS/EHS audit requirements with internal and external stakeholders,
- Raise and manage purchase orders, review and approve invoices ensuring alignment with quotes, service schedules and within budget.
Please note, this is a 6-month maternity leave cover commencing mid July 2026 with the potential to extend. The successful candidate will also be onsite in our Melbourne office on Tuesdays, Wednesdays and Thursdays.
About You
While we are big on development and offer on the job training, we want to set you up for success. Along with a great attitude, it would be ideal that you have:
- Strong knowledge of essential services, building codes and standards and OHS/EHS requirements.
- Proven experience managing and maintaining workplace operations within a commercial environment, projects, leases, contracts, and tender processes.
- Ability to coordinate building maintenance, monitor service delivery standards, and manage administrative functions with strong attention to detail.
- Demonstrated negotiation, stakeholder engagement and verbal communication skills including proven ability to influence positive outcomes and build effective working relationships.
- Strong organisational and problem solving skills with the ability to manage competing priorities in a fast paced workplace environment.
